Create a project document register

List deliverables and decision dates before documents begin arriving by email and chat.

Technical basis

Control product, container, water analysis, capacity, scope, site conditions, utilities, equipment lists, specifications and interface schedules. Record assumptions and their confirmation owner.

Engineering and execution

Include layouts, flow diagrams, single-line diagrams, load lists, foundations, piping, cabling, control documents, installation methods, inspection plans and local-work drawings.

Acceptance and operation

Manage comments and changes across interfaces

The goal is a closed decision trail, not a large archive of uncontrolled attachments.

Structured review

Collect comments against the document, location and revision; assign owner and due date; and record accepted, rejected or pending disposition. Avoid merging contradictory markups without a decision record.

Change impact

When product, bottle, equipment, layout, utility or local condition changes, identify affected drawings, scope, cost, schedule, testing, training and permits before issuing the next revision.

Distribution and access

Give each party access to the current approved information needed for its work while protecting controlled software, commercial data and personal information. Define backup and recovery.

Handover should reflect the installed plant, not the original quotation.

As-built verification

Walk down equipment, tags, connections, routes, setpoints and field changes against final drawings. Close or explicitly list discrepancies before accepting the package.

Operational organization

Organize by system and asset with searchable names, language needs, spare-parts references, procedures, safety information, inspection records and training links.

Post-handover governance

Name who approves document and software changes, how revisions are backed up, and how operators confirm that the point-of-use copy remains current.
